What You’ll Do
As the Volunteer Coordinator at Kids’ Voice of Indiana, you will coordinate the recruitment, onboarding, and retention of volunteers who serve as advocates for children involved in the court system. This role is essential to ensuring that our GAL/CASA Program has a strong and diverse group of trained volunteers prepared to advocate for the best interests of children. You will serve as a primary point of contact for volunteers, facilitate information sessions and volunteer recruitment events, and maintain key data systems. Your work will strengthen community partnerships, enhance volunteer support, and advance the mission of Kids’ Voice.
Your Key Responsibilities
• Respond to volunteer inquiries and coordinate the application and onboarding processes for CASA, GAL, Ambassador Team, and Educational Liaison roles.
• Ensure completion and compliance for background checks and ensure volunteers complete training prerequisites in coordination with the Director of Training & Professional Development.
• Schedule and lead Volunteer Information Sessions as necessary, track attendance and follow-up with participants.
• Maintain accurate records using systems such as Optima, Bloomerang, and internal spreadsheets.
• Manage volunteer communications via Clearstream and the volunteer inbox.
• Plan and implement volunteer engagement events including Coffee & Connect, Volunteer Appreciation Lunch, and Fall Fest.
• Oversee the Ambassador Team, including onboarding, monthly activity planning, and annual calendar creation.
• Coordinate volunteer recruitment efforts and organize volunteer-focused recruitment events in collaboration with internal teams.
• Partner with Marketing to promote volunteer opportunities and events on the website and through other channels.
• Manage and update volunteer and donor databases; create and track Givebutter and Bloomerang campaign pages.
• Coordinate alignment with the volunteer recruitment budget and contribute to annual budget planning.
• Create and distribute a monthly Volunteer Training & Events newsletter.
What You Bring
• Bachelor’s degree or associate degree with 2+ years of experience in volunteer management, recruitment, or community outreach preferred.
• Ability to pass state and national background checks, including DCS/CPS history check.
• Demonstrated experience in child welfare, youth-serving nonprofits, or related advocacy work.
• Strong public speaking and facilitation skills.
• Excellent organizational and time management abilities.
• Commitment to equity, inclusion, and cultural responsiveness.
• Proficiency in Microsoft Office and comfort working with data systems and virtual communication tools.
• Ability to work some evenings and weekends as needed for outreach or engagement events.
• Strong interpersonal and relationship-building skills with a proactive, team-oriented mindset.
What Sets You Apart
• Experience with volunteer lifecycle management or peer-led volunteer teams.
• Familiarity with Optima, Bloomerang, and Clearstream or similar platforms.
• Experience planning public-facing outreach events and managing event volunteers.
• Comfort using Canva or similar tools to create event materials and promotional graphics.
• Understanding of the court system, GAL/CASA programs, or related child advocacy fields.
Tech Know-How
• Proficient in Microsoft Office Suite (Word, Excel, Outlook, Teams)
• Working knowledge of volunteer management systems like Optima and Bloomerang
• Experience with Canva, Clearstream, and Zoom
• Ability to learn and adapt to new platforms as needed
Physical Requirements
This position operates in both office and hybrid work environments. Regular use of computers, phones, and standard office equipment is required. Physical demands include sitting, standing, walking, and occasional lifting of up to 20 pounds. Occasional evening or weekend work is required for events and outreach. Travel is required for outreach events and other work-related activities.
