    VotingWorks is the only non-profit in the United States building voting machines, audit software, and other technology to power our public elections. We believe in democracy and well-run free & fair elections. We see a growing crisis of voter confidence in our elections, and we believe transparent, secure, and simple technology can help. That's what we're building. Voting technology developed in concert with election administrators, with all source code and documentation published for the world to see, modern security practices that provide positive evidence of proper operation, and a focus on simplicity in our product so users make fewer errors.

    THE ROLE

    The Accounting & Operations Associate will work under the Head of Operations to ensure smooth planning, logistics, and execution of all operations spheres: Accounting/Finance, HR, and Inventory Management.  If you consider yourself a solution-driven or process person with accounting/finance experience and a knack for planning and logistics, this position is for you.

    The ideal candidate will have a strong accounting and finance background and an interest in expanding outside of the finance sphere.  Previous startup experience is a plus.  Public accounting experience is a plus.  CPA also a plus (ok if expired). 

    To succeed in this role you're ready to wear multiple hats, shifting between working with our external accounting team on closing the books each month, to planning an org-wide offsite, to onboarding new employees. You know how to roll up your sleeves and get things done - whether it's a job responsibility you were expecting or one that suddenly materialized but is pressing for VotingWorks. You are extremely organized and detail oriented, and developing new processes comes naturally to you.  You can work autonomously with little direction and a fair amount of ambiguity but also know when to ask for help or clarification.

    To begin, your responsibilities will include:

    Accounting

    • Manage all monthly financial transactions in partnership with our external accounting team, under the supervision of the Head of Operations.
    • Invoice customers and ensure bills are paid on time.  
    • Manage billing and reporting related to government contracts.
    • Review employee expense reports for accuracy.
    • Support Head of Operations in preparing for our annual financial audit.

    In addition to Accounting responsibilities, your role may include some or all of the following:

    Inventory management

    • Track and manage our voting machine inventory: inventory for production, R&D, equipment, and supplies.  
    • Reconcile inventory between our inventory management system and accounting system each month.

    People Ops

    • Work with our external HR firm to manage our VotingWorks team end to end: onboarding/offboarding, benefits questions,  
    • Plan and coordinate org offsites 2x/year.
    • Coordinate team engagement surveys and present findings 2x/year

    You may not have done this exact job before - in fact you probably have not done this exact job before, but your experience shows a track record of picking up challenging projects in ops, finance, HR, and/or inventory management and thriving with those challenges.

    WE'RE FULLY REMOTE

    We're a fully remote organization, and this role works wherever you live in the US.  That being said, if you happen to live near San Francisco, for this role, that could be helpful. 

    We offer a flexible work schedule and we're on board with schedule flexibility: we all have personal lives outside of work that command our time and attention. With flexibility comes responsibility: you should be comfortable with significant autonomous work and managing your time to ensure you meet deadlines.

    COMPENSATION

    We're a non-profit, so we compensate in cash and benefits exclusively. We won't pay you as much as a big for-profit, but we'll still pay you a very fair salary and competitive benefits. Compensation is commensurate with your skills and experience.  VotingWorks adjusts salary based on location.
