    ABOUT THE OPPORTUNITY _ NOTE ABOUT COVID-19: Until the COVID-19 pandemic has slowed, this will be a remote position and some of the responsibilities may shift to include setting up virtual processes and systems to support program operations._

    Reporting to the Operations & Team Development Lead (OTDL), the Program Operations Associate (POA) is a part time employee (up to 20 hours per week). The POA will manage coordination and operations of WEPOWER programming. WEPOWER especially seeks a POA who will live out our values and beliefs while working thoroughly, quickly, and assertively to drive operational success and seamless program experiences among community members and program directors and facilitators.

    WE WILL CELEBRATE SUCCESSFUL...

    1. Preparation and organization of supplies, materials, and run of shows for all WEPOWER programming. 
    2. Venue, setup, management, and clean up for all WEPOWER programming. 
    3. 80% of community members with whom WEPOWER partners communicating positive experience with operations, communication, venue, catering, and childcare when attending WEPOWER programming.

    YOU WILL…

    PREPARE AND ORGANIZE SUPPLIES, MATERIALS, AND RUN OF SHOWS FOR ALL WEPOWER PROGRAMS (50%)

    Run of Show

    • Meet with program team and OTDL at least a month in advance of programming to develop a run of show (for events where we expect over 50 attendees) and to confirm agenda, supplies, materials (print and digital), setup and venue layout needs
    • Work with OTDL to manage operations and administrative aspects of run of show and preparation leading up to WEPOWER programming
    • Communicate weekly with updates, questions, reminders, and requests from program team and OTDL
    • Work with the OTDL and program team to assess accessibility needs of confirmed attendees and make proper accommodations for day of WEPOWER programming

     

    Supplies and materials

    • Work with OTDL to purchase and organize supplies for programming and childcare 
    • Work with OTDL and program team to print, collate, and organize materials for programming (i.e. agendas, worksheets, reports, slide decks and videos, folders)
    • Organize materials into the appropriate WEPOWER program folders for reference the day of and future reference

    VENUE, SETUP, MANAGEMENT, AND CLEAN UP FOR ALL WEPOWER PROGRAMMING (50%)

    • Arrive at the venue with ample time before the programming starts to set up the space, test technology, and prepare to greet community members, program team, childcare providers, caterers, etc. 
    • Manage operations throughout the day of the event including checking in on childcare providers, transitioning from breakfast to lunch, ensuring community members have transportation to and from the program, managing the registration table and signing people in for the day
    • Manage volunteers, interns, and practicum students who are present to support the operations of WEPOWER programming
    • Work with the OTDL to ensure community members, facilitators, childcare providers, and caterers are tracked for payment and stipends
    • Lead efforts with the support of OTDL, program team, and facilitators to clean up, organize, and breakdown things after the completion of WEPOWER programming
    • Manage data entry following WEPOWER programming including attendee list, notes taken, surveys completed, etc. 
    • Support OTDL, Vice President of Movement Building, and program teams with the dissemination of reminders, calendar invites, and follow-ups after programming, relying on the program teams to lead this effort

    COMPENSATION

    This is an hourly position up to $20 per hour.
