OFFICE ADMINISTRATOR
We are a small CPA Firm located in the Lower Queen Anne neighborhood of Seattle searching for an experienced, motivated, and detail-oriented Office Administrator. Responsible for greeting clients and guests; supporting team of tax preparers; assembling tax returns; sorting mail; maintaining kitchen and office supplies. Assists with accounts payable and receivable, including daily check deposit, and monthly client billing statements. __
This is a full-time position.
We offer competitive hourly pay of $25 - $30/hour DOE, a 401(k) with generous employer contributions, fully paid health insurance with employer match to health savings account, and Orca transit or parking pass.
ESSENTIAL JOB FUNCTIONS
- Follows policies, procedures and completes administrative tasks as directed and on time.
- Assist with tax return assembly and electronic filing.
- Provides support to Executive Staff as needed.
- Assists with special projects as needed.
- Prepares and mails monthly billing statements.
- Organize receipts for monthly credit card reconciliation.
- Preforms other clerical duties as needed, such as filing, photocopying and running local errands.
- Welcomes clients and guests in a professional and friendly manner.
- Receives, sorts, and routes all incoming and outgoing mail.
- Maintains reception area, staff kitchen and supply cabinet.
- Monitors, orders, receives, and organizes office supplies.
- Handles all accounts receivable and daily checking deposit.
- Maintains copy machine and assists users with any issues.
- Submits work orders to building property manager.
- Always maintains strict confidentiality.
EDUCATION, TRAINING, AND EXPERIENCE:
- A high school diploma or equivalent is required.
- Bachelor’s or Associate's Degree preferred.
- Experience at CPA firm preferred.
- 4+ years of relevant administrative office experience preferred.
- Must be comfortable working in a fast-paced environment and available on Saturdays during tax season (Feb 1 – Apr 15).
- Proficient in Microsoft Office
- QuickBooks experience preferred
- Self-directed; ability to work with minimal supervision and excellent communication skills.
