    Job Description

    WHAT YOU’LL BE DOING (THE JOB)

    THE CLIENT CARE COORDINATOR DUTIES INCLUDE:

    • Answering phone calls and emails, scheduling appointments, triaging questions, and preparing our clients for their visit.
    • Versed in electronic or cloud-based practice management software.
    • Welcoming clients in a friendly, helpful, and compassionate manner.
    • Coordinating workflow between clients and the clinical team.
    • Educating and advising clients regarding hospital services and practices.
    • Relaying doctors’ recommendations to clients.
    • Learning about the best quality of medicine and pet care by attending staff meetings and on and off-premises CE events.
    • Processing client requests while ensuring the highest quality of care and satisfaction for our clients at all times.
    • Processing admissions and discharges and accurately scheduling follow up appointments as necessary.
    • Ensure food and medication orders are properly filled.
    • Processing invoices and payments accurately.
    • Updating and maintaining client/pet records and files in accordance with legal requirements.
    • Helping with other administrative duties and projects as appropriate.
    • Serving as an integral link between the clinic and the community by helping with social media and event planning.
    • Other duties and tasks as they arise. Keep in mind we’re a new and growing business!

    WHAT WE NEED FROM YOU (REQUIREMENTS):

    • At least a year of experience in a client facing role. You care about providing a good experience for all of our pet owners and their animals.
    • Excellent follow-up skills with clients and colleagues.
    • You are organized, detail-oriented and have excellent follow-up skills.
    • Common sense. You understand the importance of following our systems but when you have a question about a special case or something that falls outside the norm, you know to escalate it to the right people.
    • Reliability and punctuality. You understand the importance of your role to the team and our clients.
    • Patience. You take the feelings and needs of others into account, display patience even when others around you may be stressed, upset. This includes pets, owners, and colleagues.
    • Resilience. You are able to stay the course, support co-workers, pets and pet owners in the face of pressure or hardship.
    • You are an excellent communicator. You are a good listener and able to distill critical patient information to veterinarians, other teammates, and patiently explain clinic hours, services, medical standards of care to clients.
    • Empathy and compassion. As the first and last person our clients and pets interact with during a visit you do your best to ensure that owners and pets feel welcome, safe, and cared for.
    • Have demonstrated experience using Windows-based computer programs.
    • Experience using social media tools like Instagram, Facebook, Twitter.
    • Able to lift 30lb.
