    We are looking for a dynamic Administrative Coordinator to join our team of versatile storytellers and marketers who are professionally dedicated to their passions for food, wine, and travel.

    Responsibilities:

    • Prepare the office for re-opening including organizing, overseeing clean-up, re-engaging with vendors, and ensuring employees have the supplies they need
    • Ensure Covid—19 related protocols are adhered to
    • Assist with IT support for basic technical issues, submitting tickets to IT vendor when needed
    • Manage vendor relationships and contracts including security system, building, and cleaning service, phone, Internet, local IT, copier, water service, etc. and coordinate and oversee onsite vendor work
    • Serve as emergency contact for alarm company
    • Review and forward vendor invoices to finance for payment
    • Maintain mailing, office supplies, processes, tools, and shipping needs and ensure all office related responsibilities are attended to
    • Assist HR and IT with preparing for new hires, and exits
    • Manage commuter passes, if applicable
    • Assist employees with special projects upon request
    • Assist with admin responsibilities for employees around the country

    Requirements:

    • Adaptable, solution-oriented, and resourceful when tackling challenges and obstacles
    • Exceptional organizational skills
    • Must be able to manage time and deadlines on a daily and weekly basis
    • Knowledgeable in Microsoft Office Suite, Dropbox, Zoom, Namely and other platforms to communicate, report results, create tools and templates for work
    • Experience in IT support
    • Willing to learn, utilize and support new applications such as project management and time tracker tools
    • Must be able to communicate in a clear and professional manner via e-mail, writing, etc.
