We are seeking a DEPARTMENT COORDINATOR to provide exceptional administrative support to our Public Engagement, Learning, and Impact (PELI) Department. This department has a focus on audience and community engagement by bringing together visitor analytics and data insights, theories of learning, community capacity building and community engagement, and interpretation. The Department Coordinator will provide administrative support for a wide range of departmental functions such as calendar management, invoicing, contract management, internal and external correspondence, statistics and attendance tracking.
RESPONSIBILITIES WILL INCLUDE:
- Maintain calendars and files; plan, coordinate and schedule meetings, conferences, and assist with the coordination of various meetings and events
- Serve as a liaison with internal staff and external contacts regarding PELI initiatives, upcoming events, office logistics, etc
- Process and/or draft correspondence and other written material as requested
- Manage administrative details of Community Rental Waiver program; includes community outreach and fostering relationships with community partners
- Maintain department sever and archival systems, shared databases, partner lists and program summaries.
- Coordinate site visits with museum colleagues, researchers, professionals; scheduling one-on-one meetings with appropriate staff members
- Prepare contracts and supporting documentation for speakers, presenters, writers, artists and other contractors for all program areas; Make travel arrangements and prepare itineraries for speakers and guests as needed
- Assist programmers with the execution of grant applications by managing timelines, coordinating support materials, creating and formatting program information according to grant guidelines
- Manage interoffice mail, and facilitate inter- and intradepartmental communication
POSITION SPECIFICS:
- Full-time (35 hours), Non-exempt, $33-43k annually, dependent on level of experience; Flexibility to work some evenings and weekends required.

REQUIRED QUALIFICATIONS:
- One to 3 years applied experience providing administrative assistance, and/or project management is essential
- Flexibility to work evenings and weekends.
- Exceptional interpersonal and communications skills with demonstrated ability to communicate effectively and work with a wide range of constituents (artists, administrators, funders, donors, community partners, patrons, staff) personalities, and people across a variety of cultures, generations, and abilities
- Proven ability to multi-task, handling many projects simultaneously in a fast-paced environment
- Detail oriented and highly organized with ability to problem-solve in a quick and resourceful manner
- Working knowledge of all Microsoft Office applications
- Experience with travel and event planning desired
