The Administrative Assistant responsibilities include providing support to the business unit through organization, administrative tasks, process compliance management and special projects. Responsible for confidential and time sensitive material. Familiar with a variety of the field's concepts, practices, and procedures.
What you’ll be doing…
Provides administrative support to VP of TBD Operations including calendar management, phone & written correspondence, produce and distribute correspondence memos, letters, faxes, presentations, and forms
Assist in the preparation of regularly scheduled reports - weekly, monthly, quarterly, and annual reporting.
Assist in the financial budgeting, reporting and Invoice tracking for business unit
Assists in maintaining files (electronic and hard copy) according to policy and procedures
Ensures adherence to TBD Management policies and safety rules; complies with TBD Management policies for reporting incidents and complete our Property Incident Report (PIR) when needed.
Assists with the documentation and creation of Standard Operating Procedures (SOPs) for business unit as well as auditing and cataloguing SOPs
Performs other related duties and projects to support the property management department, as assigned
Extra points if you have obtained these preferred qualifications…
High School Diploma or equivalent required; some college preferred
Real Estate, Property management, Residential or Construction experience a plus
Customer service and conflict resolutions skills to overcome objections and resolve issues.
Strong communication skills with the ability to interact with all levels of people
Ability to multi-task and attention to detail and prioritize
Work in a fast-paced environment with tight deadlines.
Make decisions within a set framework and resolve problems efficiently and effectively.
Yardi experience a plus
