    JOB SUMMARY

    The Warehouse & Logistics Coordinator is a hands-on operational role responsible for the efficient movement, organization, and readiness of all event equipment, supplies, and assets across Snake Oil Cocktail Company's warehouse and venue locations. This position goes beyond traditional warehouse functions. The ideal candidate brings supply chain awareness, purchasing experience, and a process improvement mindset to help SOCC reduce costs, eliminate waste, and build more efficient systems for event logistics and inventory management.

    Working closely with the Sales, Facilities, and Event Operations teams, the Warehouse & Logistics Coordinator ensures that every event has the right equipment, supplies, and logistics in place on time and on budget. This role also takes a lead role in vendor coordination, purchasing decisions, fleet management, and the development of operational SOPs that improve consistency and cost control across the organization.

    Facilities and operational employees are expected to support Julep Venue, Vesper Venue, Chapel, and Bramble Bay Venue to ensure consistent readiness, brand standards, and seamless execution across the full event portfolio.

    ESSENTIAL FUNCTIONS

    Warehouse Operations and Inventory Control

    • Oversee daily warehouse operations including receiving, storage, organization, and distribution of event equipment and supplies
    • Maintain accurate, real-time inventory of all tools, equipment, consumables, furnishings, and operational assets
    • Conduct regular physical inventory counts; document and report breakage, loss, or discrepancies promptly
    • Implement and continuously improve inventory tracking systems to minimize equipment loss and reduce carrying costs
    • Ensure the warehouse and all storage areas are clean, organized, and optimized for efficient access and throughput
    • Maintain event furniture and assets in clean, fully assembled, and structurally sound condition; perform basic touch-ups and flag advanced repair needs

    Purchasing and Supply Chain

    • Purchase and receive consumable products used at events including cups, straws, disposables, non-alcoholic beverages, concessions, bus tubs, crates, trash cans, tools, and other operational supplies
    • Source vendors, obtain competitive quotes, and make purchasing recommendations that balance quality and cost effectiveness
    • Track purchasing activity and maintain spend records; identify patterns and opportunities to reduce per-event supply costs
    • Verify pull sheets for all events in coordination with the Operations team and sales representatives; ensure no items are missing or over-ordered
    • Monitor vendor performance and delivery reliability; escalate concerns and recommend vendor changes when appropriate
    • Support implementation of purchasing approval workflows and procurement SOPs to improve cost control and accountability

    Logistics and Transportation

    • Plan and oversee all transportation logistics for event equipment delivery and retrieval, ensuring timely and efficient execution
    • Optimize van routes, loading sequences, and unloading processes to control fuel and labor costs
    • Ensure all vans are loaded and unloaded correctly for each event; conduct pre- and post-event equipment checks
    • Manage the company vehicle fleet — maintain cleanliness, operational readiness, and scheduling; coordinate all routine maintenance and repairs using FLEETIO
    • Coordinate hiring and return of rental vehicles for larger events
    • Oversee vendor deliveries and event resupply runs; ensure all items are accounted for and nothing is left behind

    Cost Analysis and Process Improvement

    • Track and analyze per-event supply and logistics costs; identify variances and surface cost-saving opportunities to leadership
    • Proactively seek ways to streamline warehouse, purchasing, and logistics processes to increase efficiency and reduce waste
    • Assist in developing and maintaining written SOPs for warehouse, inventory, and logistics functions
    • Support implementation of new systems or tools that improve operational visibility, inventory accuracy, or cost performance
    • Provide regular reporting on inventory levels, purchasing spend, fleet status, and logistics performance to the Operations Manager and leadership

    Event and Venue Support

    • Serve as the operational liaison between the Sales, Facilities, and Event Operations teams to ensure all logistics and supplies are confirmed in advance of each event
    • Support venue cleaning, staging, and venue flips as assigned
    • Assist with event setup and breakdown at SOCC venues and off-site locations as needed
    • Manage and maintain back-of-house operations including warehouse and kitchen readiness
    • Assist with identifying and coordinating minor repairs and improvements at venues in coordination with the Facilities team
    • Report any staff incidents or safety concerns to the Event Operations Manager or leadership

    Fleet and Equipment Oversight

    • Manage the care of the company van and vehicle fleet; oversee all repairs, maintenance, and cleanings
    • Ensure all routine maintenance is logged and kept current in FLEETIO
    • Coordinate use and scheduling of vehicles across the operations team

    Administrative and Team Support

    • Coordinate with the office team on scheduling for warehouse staff or agency labor; assist with enforcing attendance and timekeeping policies
    • Participate in operations and logistics planning meetings as required
    • Consult on interviewing and hiring for other warehouse or operations staff as needed
    • Perform any other tasks that may be asked or assigned

    REQUIRED SKILLS AND QUALIFICATIONS

    • 2–4 years of experience in warehouse operations, logistics coordination, supply chain, or a related role
    • Demonstrated experience with purchasing, vendor sourcing, or procurement in an operations environment
    • Strong inventory management skills; experience with inventory tracking systems or software
    • Analytical mindset with the ability to track costs, identify inefficiencies, and recommend process improvements
    • Experience with fleet management or vehicle coordination a plus; familiarity with FLEETIO or similar software preferred
    • Exceptional attention to detail and organizational skills
    • Calm under pressure with the ability to manage competing priorities and make sound decisions independently
    • Strong written and verbal communication skills; ability to interface with Sales, Operations, and vendor partners
    • Proficiency with Excel or Google Sheets for inventory tracking, cost analysis, and reporting
    • Positive, proactive approach to work; takes initiative without waiting to be directed
    • Valid driver's license and ability to pass a DMV review
    • Ability to work a varied schedule including weekdays, evenings, weekends, and holidays as required by the event calendar

    PREFERRED QUALIFICATIONS

    • Experience in hospitality, catering, or event operations environments
    • Familiarity with pull sheets, event logistics workflows, or venue operations
    • Experience developing or improving purchasing or inventory SOPs
    • Bilingual (English/Spanish) a plus

    PHYSICAL DEMANDS

    • Ability to lift and carry up to 50 pounds
    • Frequent bending, lifting, pushing, pulling, climbing, and standing
    • Ability to work extended shifts on feet
    • Ability to work indoors and outdoors in varying weather conditions
    • Ability to operate basic equipment, hand tools, and company vehicles as assigned

    SCHEDULE

    This is a full-time, non-exempt, hourly position requiring a varied schedule. Evenings, weekends, and holidays are an industry expectation and a requirement for this role. This is a fully in-person position. The schedule varies based on the event calendar and team assignments within the operations department. Overtime may be required as necessary.

    WORK LOCATION

    Fully on-site. San Diego, CA 92101. Reliable commute or relocation required prior to start date.

    COMPENSATION

    $24.00 – $30.00 per hour, commensurate with experience. Non-exempt; overtime eligible.
