    JOB SUMMARY:

    We're looking for a highly organized, detail-oriented professional to join our Louisville, KY team as a Warehousing and Purchasing Coordinator. This role supports a range of operational functions, including procurement, warehousing, RMA processing, resale and collections, inventory management, and vendor relations.

    Success in this position requires strong multitasking abilities, proficiency in Microsoft Office, and familiarity with accounting software. The ideal candidate will be a proactive problem-solver with excellent communication skills and the ability to collaborate effectively across departments to drive smooth and efficient operations.

    KEY DUTIES AND RESPONSIBILITES:

    Procurement:

    • Coordinate the purchasing process, including vendor management and order placement for all ATS Integrated departments.
    • Monitor inventory levels and generate purchase orders to maintain optimal stock levels for all ATS Integrated departments
    • Support negotiations with suppliers to secure the best pricing, terms, and delivery schedules
    • Track incoming shipments and ensure timely delivery of goods. Communicate and maintain record keeping of delivery information with all departments.

    Warehousing:

    • Oversee inventory management for all ATS Integrated departments and ensure accurate inventory records are maintained within the accounting system
    • Organize and coordinate storage layouts for job bins to optimize space and accessibility
    • Implement and enforce warehousing procedures to maintain product quality and safety
    • Conduct periodic inventory audits and reconcile inventory discrepancies

    RMA (Return Merchandise Authorization):

    • Manage the return and replacement process for defective or damaged goods for all ATS Integrated departments.
    • Liaise with internal teams and external suppliers to resolve RMA issues promptly
    • Maintain detailed records of RMA transactions and report on trends or recurring issues

    Resale:

    • Assist all ATS Integrated customers in the resale of products and consumables
    • Maintain accurate records of material only resale activities and pricing adjustments
    • Collaborate with the sales team to identify potential material only resale opportunities

    Billings:

    • Generate and issue invoices for all material only resale orders accurately and on time
    • Review material resale only billing statements to ensure compliance with company policies and procedures
    • Address customer inquiries related to material only billing and support resolution with the appropriate department
    • Reconcile material only resale billing records with financial reports for accuracy and consistency

    Resale Collections:

    • Monitor accounts receivable for all material only resale orders and follow up with customers to ensure timely payments
    • Resolve material only resale billing discrepancies and disputes in collaboration with the appropriate department team
    • Prepare and issue letters or collection notices when necessary for material only resale
    • Provide regular updates to management on collection status and outstanding accounts

    SKILLS AND ABILITIES:

    • Excellent organizational, communications, and interpersonal skills
    • Ability to work on mid-to-long-term projects and still react to unanticipated demands for your time (customer phone calls, team support requests, etc.)
    • Proficient in data entry
    • Strong analytical skills
    • Strong time management and organizational skills
    • Ability to work independently and unsupervised
    • Ability to lift 50lbs on occasion
    • Ability to climb or balance on a ladder, stoop and kneel
    • Ability to work in diverse temperatures
    • Ability to reach with hands and arms without limitations
    • Must be able to work extended hours as business needs demand

    EDUCATION AND EXPERIENCE REQUIREMENTS:

    • 3+ years of experience in procurement, inventory control or warehouse coordination
    • Proficiency in data entry office software, such as Microsoft Office Suite or equivalent tools
    • Strong organizational and multitasking skills
    • Detail-oriented with a high level of accuracy in work
    • Excellent written and verbal communication abilities
    • Familiarity with ERP systems is a plus
    • An understanding of Building Mechanical, Control Systems, and Security Systems is a plus
