    Warren Wilson College is seeking an individual, with the right aptitude, education and experience to assume an Administrative Assistant position in the Center for Integrated Advising and Careers (CIAC).  This is a regular part-time II position that will work no more than 29 hours per week. 

    We are seeking a dynamic team member interested in providing administrative support in the CIAC department and for the Dean of Integrated Learning and Careers.  Logistical support for events, ensuring accurate and update to date resource matters, providing student record support and social media maintenance are just a few of key responsibilities of this position.

    Ideal candidates will possess Associates degree in Business, Liberal Arts or related field. The candidate should possess at least one year experience with digital tools and organizational systems, including databases, spreadsheets, and shared drives.   Interested individuals should read further to learn more about the qualifications and job responsibilities for this part-time II, non-exempt position.     MINIMUM QUALIFICATIONS

    • Associates degree in business, liberal arts or related field. Experience will be considered on a year by year basis
    • Demonstrated organizational and detail-oriented skills
    • One year experience with digital tools and organizational systems, including databases, spreadsheets, shared drives
    • Demonstrated skills in building relationships with students, faculty, and colleagues
    • Evidence of the ability to work in a highly collaborative environment
    • Demonstrated experience working in a fast-paced environment
    • Evidence of excellent written and verbal communication skills

    PREFERRED QUALIFICATIONS

    • Bachelor's degree in business, liberal arts or related field
    • Prior identified experience with google suite (gmail, calendars, google docs, shared drives)
    • 1-2 years of experience in a higher education setting
    • Experience with updating and/or management of websites

    KEY RESPONSIBILITIES

    RESOURCE MANAGEMENT

    • Review communication tools daily- including CIAC email, WWC app, WWC parent facebook page, and CIAC general phone- to ensure CIAC is appropriately responding to questions and inquiries
    • Send scheduled communications to students through CIAC email
    • Ensure advising tools and resources are accurate and up-to-date. This includes major and minor checklists, the General Education Checklist, general education designated courses worksheets, and 1-page major/minor/work crew document
    • Manage Center for Integrated Advising and Careers myWWC webpages
    • Keep a current and student-accessible list of faculty available to serve as major/minor advisors
    • Create and/or update advising and career development resources as needed by CIAC staff members
    • Update CIAC-maintained Formstack forms to ensure accurate information and appropriate notification workflows.

    ADVISING STUDENT RECORD SUPPORT

    • Create new student records and folders
    • Ensure effective and accurate organization of the Advising Student Record google share drive
    • Provide assistance to Integrated Advising Coaches on tracking and documentation of student advisee participation

    EVENT AND PROGRAMMING SUPPORT

    • Provide logistical support for CIAC events including: Registration Breakfasts, Alumni-Student Connections (Social and Panels), Graduate and Professional School Fair, Career Treks, March Major Madness Events, departmental fairs, and pre-professional programs and events
    • Update Lessons in Navigating College (LINC) program google calendar, including creating SignUpGenius sign-ups.

    READMISSION SUPPORT

    • Maintain and up-to-date readmission application
    • Monitor the readmission@wwc email and respond to inquiries about the process for Readmissions
    • Write and send letters of acceptance or denial
    • Monitor the readmission tracking document in order to appropriately and efficiently advance students in the re-enrollment process.
    • Ensure the re-enrollment checklist is up-to-date
