    Job Summary: The HR Administrative Assistant will support HR/Training and Development administratively. This role will also assist in facilitating WSM's recruitment and onboarding process and support employees through various HR-related processes. The position also has an active role in ensuring all HR functions comply with local, state, and federal regulations.

    FLSA: Full-time, Non-exempt

    Essential Functions:

    Culture and Values

    • Share the Good News of Jesus Christ in words and actions with people we serve, communicating hope and dignity.

    • Walk alongside fellow WSM staff in Christian community as we journey toward maturity.

    • Encourage restoration in the lives of coworkers and guests, recognizing we are each restored by God to become restorers.

    • Work in full coordination with other WSM staff at all times to identify, report and respond appropriately to any potential threats to the safety and wellbeing of guests.

    Role Specific Responsibilities

    Administrative

    • Assists with new-employee background checks, follow-ups, and reimbursements.

    • Assists with documentation and ensures communication for terminations, exit interviews, grievances, and investigations.

    • Reviewing and managing HR department invoices.

    • Maintains accurate and up-to-date human resource files, records, and documentation.

    • Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate senior-level HR staff or management.

    • Maintains the integrity and confidentiality of human resource files and records.

    • Provides administrative support to the HR department.

    • Performs and conducts periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.

    • Communicates deadlines to supervisors including review dates. Provide timely follow-up to ensure compliance.

    • May assist with payroll functions including providing HR updates prior to payroll processing and answering employee payroll questions.

    • Supports the coordination and communication with benefit brokers and representatives.

    • Works alongside the Director of Human Resources to support the coordination for special events such as:

    Benefits enrollment

    Employee recognition events

    Recruitment and Retention

    • Assists with applicant tracking system, specifically Breezy HR; facilitation of candidate status in the pipeline and ensures ongoing communication throughout the hiring process.

    • Informing applicants about position details and benefits.

    • Support and coordinate new employee onboarding/orientation.

    • Support and coordinate external and internal talent pipelines.

    Employee Development

    • Assist with LMS Implementation and Development.

    • LMS coordination and tracking of employee data.

    Education and Experience:

    • Associate degree in related field or similar and/or equivalent experience.

    • Demonstrated administrative experience with exposure to HR.

    • Experience with Microsoft Suite (Word, Excel, Spreadsheet, PowerPoint, Outlook)

    • Experience with managing or reshaping processes.

    • Proficient with or the ability to quickly learn Applicant tracking systems (ATS) and/or similar HR software.

    • Strong interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
