Wealth Management Operations Specialist

Position Summary
Oxbow Advisors is seeking a detail-oriented Wealth Management Operations Specialist to support the day-to-day operational functions of our advisory practice. This role is responsible for account administration, operational reporting, portfolio management systems, advisor support, and general office operations.
The ideal candidate has prior experience working in a wealth management or registered investment advisory (RIA) firm and is comfortable managing multiple operational processes with accuracy, organization, and minimal supervision.
Key Responsibilities
Wealth Management Operations
Open and process new client accounts and maintain accurate account records.
Administer the Orion portfolio management platform, including maintaining the client portal.
Track incoming client assets and report on new assets under management.
Coordinate quarterly, month-end, and other recurring client communications.
Maintain accurate client databases, mailing lists, and operational records.
Generate ad hoc reports and operational support materials for advisors.
Advisor Support
Assist advisors with administrative and operational requests.
Coordinate book mailings and other client fulfillment projects.
Help ensure operational workflows are completed accurately and on schedule.
Office Administration
Manage office, kitchen, and administrative supply inventories.
Coordinate vendor orders and general office support.
Assist with special projects and other administrative duties as assigned.
Qualifications
Required
3+ years of administrative or operations experience.
Excellent organizational skills and exceptional attention to detail.
Strong written and verbal communication skills.
Proficiency with Microsoft Office, particularly Excel.
Ability to prioritize multiple responsibilities in a fast-paced environment.Preferred
Experience working for a wealth management, investment advisory, or financial services firm.
Experience with Orion or similar portfolio management software.
Familiarity with investment account administration and financial operations.
Compensation
Expected Salary Range: $75,000–$85,000, depending on experience and relevant industry background.
Candidates with demonstrated experience in a wealth management or RIA environment—including familiarity with portfolio management systems, account administration, and advisor support—will be considered at the upper end of the range.
