    Wellness Operations Coordinator (Hybrid role: Sales Support, Admin, Light Treatment Assistance, Events)

    Position Summary The Wellness Operations Coordinator plays a key role in supporting the daily flow. This position blends administrative support, inside sales, patient communication, and light clinical assistance to ensure a smooth and professional experience for every patient. The Coordinator will help manage leads, support treatment operations, maintain organization, and assist with wellness events as needed.

    Key Responsibilities

    1. Client Engagement & Retention ● Conduct outreach to past and current clients via text, email, and phone campaigns ● Promote new services, packages, and membership programs ● Track engagement and identify warm vs. cold leads ● Support client retention strategies and follow-up processes

    2. Marketing & Advertising Coordination ● Research and coordinate with digital marketing companies and vendors ● Assist in developing and executing marketing strategies ● Create and send newsletters and promotional campaigns ● Develop marketing materials, including flyers, one-pagers, and event graphics ● Coordinate local advertising opportunities (radio, social platforms, publications) ● Assist with social media content creation (videos, captions, campaign ideas)

    3. Event Planning & Execution ● Plan and coordinate wellness events, seminars, and community outreach initiatives ● Manage event logistics, including venues, materials, and scheduling ● Create presentations and slide decks for events ● Develop event messaging, audience engagement strategies, and conversion plans ● Coordinate with partners, vendors, and organizations for event participation

    4. Administrative Operations ● Create and maintain expense reports and financial tracking systems ● Organize invoices and maintain financial documentation ● Manage calendars, scheduling, and meeting coordination ● Assist with onboarding materials and internal documentation (e.g., agreements, policies)

    5. Business Development & Partnerships ● Research and outreach to potential collaborators and community partners ● Coordinate with organizations for cross-promotional opportunities ● Maintain relationships with local business networks (e.g., Chamber of Commerce) ● Identify opportunities for brand visibility and growth

    6. Content & Digital Development ● Assist in building and updating website content, including landing pages ● Develop client-facing educational materials ● Support branding consistency across platforms ● Research SEO and digital growth strategies

    7. Office & Operational Support ● Assist with daily clinic operations and workflow support ● Support clinical staff as needed (shadowing, treatment assistance when applicable) ● Maintain organization of front office and client-facing areas ● Order supplies and materials for the clinic and events

    Skills & Qualifications ● Strong organizational and multitasking skills ● Excellent written and verbal communication ● Ability to manage multiple projects simultaneously ● Experience with marketing, event planning, or administrative roles preferred ● Proficiency in digital tools (email platforms, spreadsheets, scheduling tools) ● Detail-oriented with a problem-solving mindset ● Ability to work independently and collaboratively
