    Job Description

    West Coast Drywall and Paint is Southern California's Largest and Busiest Paint and Drywall Company. We are Recruiting for an experienced Office Coordinator to assist Operations in the daily responsibilities. Must be self-motivated, and highly experienced with computers.

    The Operations Coordinator has responsibility for providing construction management services on single / multi-family construction projects. Responsible for creating and maintaining spreadsheets and collecting and analyzing information for budgets, audits, planning and estimating in order to provide solutions, and project status reports to the decision-making process of company management.

    ESSENTIAL FUNCTIONS:

    ·         Assist in creating and maintaining spreadsheets utilized in both business units as well as all divisions in Operations i.e. Property Management, Residential and Commercial divisions

    ·         Input actual labor and material cost into system for reporting

    ·         Enters job budget into job cost report

    ·         Audits Account Receivable folders for job closings

    ·         Creates job reports for monthly closings

    ·         Computes Vital Factors information

    ·         Adds and files last invoice dates on Accounts Receivable folder that are closed

    ·         Maintains all electronic and hard files for Operations

    ·         Distribute and track purchase orders and work orders

    ·         Updates flow chart

    ·         Generates job cost reports, and provides copies for weekly meeting to supervisors

    ·         Analyze field efficiencies through field inspections and site visits

    ·         Proactively calls clients to obtain critical information for job start-ups

    ·         Explores for client P.O.’s on automated client sites

    ·         Follow all company policies, procedures and safety requirements

    ·         Performs various other duties as assigned

    REQUIREMENTS

    Must have a strong work ethic and able to work under pressure and deadlines.

    Must have superb time management and organizational skills.

    Must have strong communication skills to coordinate projects and interaction with customers, departments, and superintendents.

    Must have excellent customer service skills internally and externally.

    Must be organized and be deadline driven.

    Must be flexible and dependable.

    Proficiency with computers and computer software, knowledge Microsoft Office software to include Word, Excel and Power Point is essential.  Experience with Outlook and Internet Explorer

    EDUCATION AND EXPERIENCE

    2-3 years experience in a business environment

    Experience in the Paint/Construction field with single/multi-family is a plus

    High School diploma or General Education Degree (GED)

    College / certificate courses in Project Management / Construction a plus
