    JOB TITLE:                           PART-TIME PROGRAM ASSISTANT DIVISION:                            EMPLOYMENT SERVICES       FLSA:                                    NON - EXEMPT LOCATION:                         MT VERNON

    REPORTS TO:                      EMPLOYMENT SERVICE COORDINATOR

     

    SUMMARY: Provides support to Employment Services Coordinator and other Employment Service staff, as designated.  Maintains complete and accurate records; provides regular in-house reports; maintains efficient functioning of all programs; assists other staff with special projects as required.  Provides some reception duties and assists walk-ins to the Community Resource center.  

     

    DUTIES & RESPONSIBILITIES:

    • Perform duties of office receptionist, interacting regularly with Westhab clients, screening visitors, handling/responding to phone, fax, and mail correspondence.  Direct information to appropriate staff in Employment & Training Programs.
    • Provide administrative support to Employment and Training Programs staff, including but not limited to, distribution and collection of work assignments, clerical support, and time sheets and meeting schedules.
    • Collect monthly statistics and program information for all Employment and Training Programs staff; compile and provide narrative to complete internal Westhab reports and reports to funding agencies.
    • Attend team, and other meetings as assigned.  Prepare minutes and related assignments for team members.
    • Maintain accurate, complete and current files for the program.  Assist in setting up and maintaining databases relating to the programs as required.
    • Assist visitors to the Community Resource Center in use of computers to do resumes and in using the internet for job searches.  Assist in the provision of referrals to other employment and training programs, as well as a variety of support programs to meet individual needs.
    • Assist in the inventory and maintenance of office equipment.  Maintain/order adequate office supplies; maintain supply inventory; supervise distribution for the program.
    • Reconcile travel vouchers, check requests and petty cash request for staff; maintain records and follow-up as necessary.
    • Directly participate in special event planning and coordination.
    • Other related duties as assigned.

     

    EXPERIENCE AND QUALIFICATIONS:

    High School Graduate, plus two years related experience.  Must have excellent computer literacy with strong skills and experience in Word, Excel and Access.  Bi-lingual ability in Spanish helpful.
