Summary: The Legal Practice Coordinator - Business Immigration & Compliance ("LPC") provides in-office administrative practice and case management support to attorneys and paralegals. This support involves document review/processing, annotation, assembly, and tracking of case submissions (paper and electronic) and case files, and the use of government, firm, and immigration case management systems. The LPC communicates with contacts, vendors, clients, and visa beneficiaries to process incoming and outgoing records, information, and fees and ensures a high level of internal and external client service. This position has billable expectations. Job Duties: The following are essential job duties and responsibilities of the LPC. This list is not exhaustive, and other duties may be assigned as necessary. Practice Coordination * Prepare and submit conflicts checks and new client/matter/file requests; work with Records Department to process requests and then the closing of matters/files. * Create and maintain reports through Excel and case management system; track all new, active, and closed clients/matters/files. * Work with Accounting/Billing/Trusts Departments and process billing revisions; send clients final invoices; track client retainers, billing details, and accounts receivable. * Prepare attorney expense reports. * Draft templated emails and letters such as engagement letters, billing communications, and government mail notifications. * Complete intakes of client records/details. * Manage calendars including scheduling and coordination of client meetings and attorney events; attend to client calls/inquiries. * Process all incoming and outgoing mail and monitor and maintain practice-specific supplies. Immigration Case Management System Administration * Administer case-management system; ensure all data and records are updated; create standards and best practices to ensure consistency across clients/matters. * Calendar, track, and run reports to ensure milestones are known, expiring records are updated, and deadlines are met. * Implement and manage client (employer) and employee access to system. * Assist in creation of client questionnaires and templates; work with new clients/employees to ensure required information is entered into system and documentation provided; follow up with clients. * Work with vendor and IT Department as needed to provide system guidance for clients and align case management system with firm systems. Immigration Case Process Administration * Organize documents for paper immigration case submissions; organize/label electronic files. * Prepare and review case process checklists; check documents/packages against quality control checklists to ensure error-free case submissions. * Verify current fee and mailing requirements and coordinate with Accounting/Billing Department to process government filing fee check requests and Office Services for mailings. * Assist with the preparation of cover letters and exhibit lists for client/government submission. * Digitize client/government case submissions; process related records requests. Requirements: * Education: Bachelor's degree * Experience: 3+ years of legal administrative experience (i.e. preparing conflicts checks, client records/details intakes, legal billing, physical and electronic case file management); business immigration-specific /case management system knowledge preferred. Knowledge, Skills and Abilities: * Attention to detail and advanced organization and process skills. * Ability to work independently and often without on-site supervision; follow practice guidelines, checklists, and process flowcharts. * Ability to prioritize short- and long-term assignments and to work under time constraints, prioritize competing demands, and meet various deadlines. * Excellent knowledge of grammar, spelling, and punctuation; basic knowledge of business immigration and employment-based immigration terminology and online government systems. * Advanced proficiency with Microsoft Office Suite (Word, Excel, PowerPoint); ability to use PDF editing technology and familiar with cloud file storage software and collaborative spreadsheets/files. * Strong oral and written communication skills; and strong interpersonal skills to communicate with a diverse group of attorneys, business professionals, and clients. * Creative problem-solving skills, reasoning ability, and logical thought process.
