Job Description
Seeking an experienced Administrative Assistant. Excellent pay and benefits.
Responsibilities:
• Answer phones, greet visitors, scan, file and perform typical office duties.
• Schedule meetings reserving internal or external conference space and catering.
• Maintain employee training records and manage training databases
• Assist with recruiting efforts to including but not limited to development and maintenance of job descriptions and current job postings on the HCM site and Company Website and communicating with external recruiters.
• Assist with pre-employment communications and scheduling as well as onboarding new hires.
• Assist with company-wide employee communications and company events.
• Participate in safety initiatives within the organization.
• Ensure company regulatory postings are up to date and revised as needed.
• Assist Human Resources Manager with implementing additional modules within Paylocity database.
• Research and respond to employee inquiries.
• Other duties and special projects as assigned.
• Match open ACH and check-run back-up documents to check copies and advise of missing back-up.
• Reconcile and create daily invoices and prepare them for mailing in support of the Finance Department.
• Assist in accounts receivable collections.
• Verify invoices and prepare expense reports.
• Ensure proper file maintenance for A/P documents and back-up
• Audit open vendor files quarterly.
• Participate in special projects.
• Assist with customers to streamline A/R and supporting customer tax information
o Assist with collection of W-9;s
o Change of “remit to” information
Required Competencies

REQUIREMENTS
ASSOCIATE’S OR BACHELOR’S DEGREE.
2 OR MORE YEARS OF RELATED ADMIN EXPERIENCE.
