Essential Functions:
The role of the RTC is transaction compliance and processing for multiple offices as well as offer some assistance to the Sales Manager with daily offices tasks. The RTC is part of the Accounting Team that reports to the VP of the RTC Group and CFO working out of our William Raveis office in Hingham, Mass.
- Manage listings, sales, and rentals in Skyslope/Appfiles (transaction management system) for compliance ensuring all data is accurate and up to date.
- Daily audit of MLS-to-Skyslope to ensure all new listing and sale has been reported through Skyslope/Appfiles.
- Review paperwork in Skyslope/Appfiles for compliance and notify agent of any incomplete or missing information/forms.
- Establish office procedures to ensure that transaction information is received in a timely manner.
- Assist agents with Skyslope training as needed.
- Communicate new forms/procedures to agents at sales meetings and/or via email.
- Accurate entry of all transactions into Romio (Profit Power commission accounting software); update Business Partners, client info, concessions, commissions, and transaction notes.
- Verification of information entry to Romio: client info, selling price, listing/selling percentage, business partners, commission info, check information, co-broke information, notes.
- Reconcile and post escrow deposits.
- Request Escrow payouts.
- Deposit checks into desk scanner and attached to transaction in Skyslope.
- Bill for Closing Commission Statements - send to agents or attorney’s according to office protocol.
- Create ‘team spreadsheets’ for commission payments to be approved by lead ‘Mega’ agent.
- Work with Agent Relations Team on escrow and agent payments to ensure all information is correct prior to closing.
- Monitor ‘Pending Report’ daily and track closing dates by contacting agents via e-mail or phone.
- Update Closing Dates in ROMIO as needed.
- Month-end review of all closing dates to ensure proper reporting.
- Request W-9’s from outside brokers.
- Communicate with Relocation on necessary transactions.
- Submit transaction inquiries to Kace (ticketing system) monitored by our Agent Relations Division.
- Monthly reconciliation between Skyslope/Appfiles, MLS and Romio.
- Attend quarterly office Sales Meetings. Travel to additional offices may be required.
- Attend to agent needs/questions.
- Assist Sales Manager with daily tasks to run the office efficiently.
Knowledge, Skills, and Abilities:
- Microsoft 365 Suite.
- Real Estate knowledge is preferred.
- Strong customer service and communication skills.
- Ability to prioritize and multitask to meet the shifting demands of central processing.
- Problem solver and numbers oriented.
- Typing accuracy and speed on computer.
Physical Demands:
- This position requires individual to sit mostly at a desk. There is constant handling, grasping, feeling, hearing, and use of a mouse as a repetitive motion. On occasion the position requires standing, reaching, bending, squatting and walking. Maximum requirement to lift is no more than 20 lbs.
