Position Summary: Maintain accounts receivable, coordinate payroll processing and time sheets, track resident monthly billing, prepare correspondence and other forms/documents needed for daily operations and marketing, assist with new employee orientation program, and other duties as assigned.
ESSENTIAL JOB RESPONSIBILITIES:
MAINTAIN OFFICE RECORDS AND PROVIDE CLERICAL SUPPORT
- Organize office functions and flow of communication.
- Maintain Accounts Receivable. (Invoice customers, post payment of invoices, track non-routine and miscellaneous services for which residents, employees or vendors should be billed or credited, and deposit invoice payments at bank.)
- Maintain and coordinate payroll processing and time sheets.
- Responsible for resident monthly billing and tracking of additional charges.
- Maintain resident files.
- Maintain vendor files.
- Prepare and mail monthly resident billing statements.
- Ensure that resident payments are deposited efficiently.
- Utilize YARDI software to track all receivables/payables.
- Keep files of all receivables/payables.
- Prepare correspondence and other forms/documents needed for daily operations and marketing.
- Duplicate and distribute information.
- Maintain office supplies and purchase needed supplies as approved by supervisor.
- Lead/manage the Dial University Training program.
- Assist in management of New Employee Orientation program.
- Hire, supervise, train and manage all front office staff at the Assisted Living campus to provide appropriate services.
ASSIST IN PROVIDING AND COORDINATING SERVICES TO RESIDENTS, FAMILIES, PROSPECTS, AND VISITORS
- Answer telephones and respond to residents' requests.
- Create and maintain an environment for residents, families and guests that is customer-friendly and that values and respects the uniqueness of each individual.
- Answer inquiry calls and conduct tours in the absence of the Executive Director and/or Marketing Director.
- Prepare weekly newsletters and assist with preparation of marketing collaterals as needed.

EDUCATION AND EXPERIENCE REQUIRED
- 3-5 years as an Office Manager
- High School diploma or GED
- Must be at least 16 years of age
- Advanced knowledge of bookkeeping beyond high school or equivalent work experience
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED
- Microsoft Office programs
- Promote teamwork in providing services to residents.
- Knowledge of and ability to operate and maintain equipment (FAX machine, calculator, photocopier, telephone, computer, and printer)
- Knowledge of Microsoft computer software such as Word, Excel. Outlook and YARDI.
- Knowledge of or willingness and ability to learn computer programs used in this facility
- Proficiency in keyboard and data entry skills and ability to use ten-key calculator (preferably by touch)
- Ability to perform mathematical calculations accurately
- Ability to read and comprehend information efficiently
PREFERRED QUALIFICATIONS
- Previous experience with ADP or Yardi, preferred
- Proven track record as an Office Manager is strongly preferred.
- Willingness to learn and help others
- Enjoyment in working with older adults
