What You Will Be Doing
The Pro Bono Project Assistant supports the firm's Pro Bono Counsel, Public Service Manager, and Pro Bono Specialist in managing the daily administrative tasks of the firm's nationally recognized pro bono and public service programs. This role will focus on administering the firm's pro bono program in the firm's U.S. offices, with additional attention to foreign offices as needed. Responsible for supporting the pro bono and public service teams with day-to-day operations, administrative projects, case management, and programmatic development.
About This Role
- Handles pro bono administrative functions such as collecting case status updates from pro bono attorney teams, entering case status and staffing information into the pro bono database, and helping to close pro bono client/matter numbers.
- Supports the engagement of the firm's lawyers in pro bono and public service by helping to track their interests and expertise.
- Assists with the logistics and operation of trainings, hotlines, clinics, and other pro bono and public service presentations and events, including coordinating scheduling, sending calendar invitations, tracking responses, and handling day-of-event logistics.
- Generates reports and data analysis to respond to internal and external surveys, RFPs, audits, and other inquiries regarding pro bono hours, value of services, and expenses.
- Aids in the production of pro bono and public service marketing content for the firm's external website and social media.
- Updates pro bono resources and training materials, Pro Bono and Community Service Committee membership roster, and other information on the firm's pro bono and public service intranet website.
- Prepares the agenda and takes minutes at meetings of the firmwide Pro Bono and Community Service Committee.
- Assists in directing and responding to correspondence and phone calls received from government agencies, legal services providers, and clients in relation to pro bono matters.
- Prepares responses to requests for charitable giving, including handling invoices and payments for donations, coordinating sponsorship marketing materials, circulating event invitations and tracking attendees.
- Assists Public Service Manager in managing charitable giving budget. Maintains a roster of nonprofit board service positions held by attorneys at the firm.
- Updates the membership of internal email distribution groups and message boards for attorneys handling specific types of pro bono matters.
- Performs general administrative tasks including answering questions regarding the firm's pro bono and public service policies and coordinating with other firm departments including recruiting, records, finance, information services, legal professional development, and practice management.
- Other duties as assigned.
- Contributes to the firm's Service Excellence initiative to consistently improve its image internally and externally. Displays professionalism, quality service and a "can do" attitude to internal members/departments of the firm as well as external clients and vendors via electronic and print correspondence, over the telephone and in-person.
Required Skills
- Excellent verbal and written communication skills. Spanish fluency preferred.
- Excellent time management, problem-solving, organizational skills, and attention to detail.
- Event planning experience.
- Advanced working knowledge of Adobe Acrobat, Microsoft Teams, and Microsoft Office suite, including Word, Excel, Outlook, and PowerPoint, as well as basic knowledge of legal research tools such as LexisNexis, Westlaw, and PACER.
- Willingness to work collaboratively and communicatively as a member of a team.
- Trauma-informed cultural competency and sensitivity.
- Ability to carry out tasks with minimal supervision on tight timelines.

Bachelor's degree

- Demonstrated commitment to public service and social justice through past participation in community service and volunteer programs.
