Office Associate (Facilities)
Reports to: Office Manager
Salary (Grade): $16.97 (G13-E)
Status: Reg., Full Time (Non-exempt)
Location: Facilities Department in Winnebago, NE
Job Purpose & Position Overview
To perform clerical support to the Facilities Department. Acts as the front receptionist for the Facilities Department to answer all inquiries in person and over the telephone. Ascertains nature of business and directs accordingly to the appropriate staff member for resolution.
Specific Job Duties/Responsibilities:
Demonstrate the Winnebago Tribe’s core mission, vision, and values.
Greets all incoming visitors, answers all inquiries in person and over the telephone in a professional manner.
Organizes, updates, and maintains various files of the department.
May make copies of correspondence and other materials, use of office equipment such as copier, fax and scanner as directed.
Performs general clerical work such as typing, filing, compilation of data for monthly report.
Must maintain high level of confidentiality and must be knowledgeable of the Privacy Act, basic knowledge and interpretation of Tribal Policies and Procedures.
Responsible for sorting mail and deliver to appropriate staff members.
Will assist with requisition, purchase orders and other financial management duties as assigned.
Maintain good relationships with suppliers, customers and colleagues
Act as support staff to Department Manager, Office Manager and all facilities staff
Ability to be organized and retrieve all documents upon request
Uses tact and diplomacy when working with others
Coordinates mowing requests in summer and snow moving & icemelt requests in winter
Stepping up when others have vacations
Keep track of all orders coming in, noting arrivals and non-arrivals
Schedule appointments and keep calendars
Set up meetings, agendas and complete minutes

Required Qualifications/Skills:
Must be proficient in Microsoft Word and Excel, internet, email and other software systems.
Must have High School Diploma or GED.
Must have two (2) years clerical or related work.
Must have valid Driver’s License and meet insurance eligibility guidelines.
Must be able to direct customers to the appropriate staff member by use of independent judgment.
Be able to interpret basic Tribal Management Policies and Procedures for employees.
Must be reliable and of good character. Possess good communication skills, both orally and written.
Training Requirements:
Must attend all meetings and trainings as directed by the Facilities Manager.
Physical Requirements:
Normal to light office work which includes the ability to lift up to 10 lbs.
Regularly required to walk, stand, and sit for extended periods of time and use hands to operate computer keyboard, phone, and various office equipment.
While performing daily duties, the employee is regularly required to talk and hear.

Reading, writing, calculating
Above average social interaction skills
Reasoning/Analysis
Works with minimal to no supervision
Language Requirements:
Must possess the ability to read, write, and speak the English language fluently.
Must be able to continually and effectively employ professional verbal and written communications skills.
