Purpose of the Position: ****
The Procurement Specialist is responsible for procuring high quality supplies and equipment organization- wide, tracking inventory, and preventing shortages. S/he conducts all requests for purchases in accordance with Win policies, and federal, state, and local regulations. The Procurement Specialist demonstrates excellent customer service skills and interacts professionally with Win staff and vendors.
Responsibilities:
- Obtain quotes and bids for equipment and services; evaluate vendors.
- Communicate with the Procurement Manager and program staff to review volume requirements and delivery needs.
- Comply with all applicable Win policies, procedures and regulations.
- Establish and negotiate contract terms with suppliers and share this information with the manager and procurement team.
- Meet multiple procurement deadlines.
- Reconcile and resolve invoice discrepancies.
- Communicate with the appropriate representatives of each department to troubleshoot purchasing issues and keep the manager informed of challenges.
- Interact with Win senior managers on a regular basis.
- Monitor and forecast the organization's purchasing needs and makes recommendations to the manager.
- Provide accurate summaries of various financial reports and audit findings to various departments.
- Coordinate and respond to external requests for financial information and reports related to purchasing.
- Provide administrative support for the Finance and Contracts Departments activities as needed.
- Track, monitor and follow up on internal and external communications related to the Contracts and Finance Departments.
- Assist in annual budget preparation and program projections.
- Coordinate multiple projects with concurrent deadlines.
- Use Aestiva purchasing software to purchase supplies and equipment.
- Perform other related duties as assigned.
Essential Functions:
Must be able to sit at a computer for the majority of the work day.
Qualifications:
- Commitment to Win’s mission, vision and values.
- BA/BS degree preferred.
- Excellent Microsoft Suite skills required.
- Effective written and oral communication skills.
- Must maintain a high degree of confidentiality.
- Must have prior experience in office management, contracts or finance.
