    EVENT COORDINATOR

    The Role

    Wonder is seeking an Event Coordinator (PT or FT) to help create memorable experiences and provide day-to-day support to the Event Operations team, including but not limited to: maintaining event documents, folders, remote training sessions,  assets & calendars, coordinating schedules, processing expenses, and providing general administrative assistance to the team.    Additionally, the Event Coordinator may have opportunities to travel to the locations of the live events.

    Responsibilities

    • Assist Event Operations teams with implementation and execution of project plans 
    • Maintain event listings on ticketing platforms
    • Manage event ticketing devices and support of each event location
    • Provide overall administrative support to the Event Operations team in daily and ongoing administrative tasks including but not limited to: planning, organization, scheduling calls and meetings, meeting preparation, travel coordination 
    • Assist in coordinating food and beverage at various events
    • Assist in proper tracking of daily ticket sales numbers to be reported to project sponsors/partners 
    • Update and manage project overview documents, project management platforms, vendor database, and other department documents 
    • Create and circulate agendas for all meetings, internal and external, and circulate notes within a timely fashion 
    • Assist Event Leads with research and application for all necessary permits for upcoming projects 
    • Assist Event Leads as a support contact for all vendors and staff internally and externally 
    • Assist in managing the workback/production schedule for event build/load-in, run of show/operations, and close/load out schedule 
    • Assist in managing and implementation of Daily Call Sheets during project build-out and support on execution of all project management elements inclusive of but not limited to appropriate document recording, tracking, sharing, etc., while finding efficiencies 
    • Support the process of collection and consolidation of feedback from various Wonder stakeholders 
    • Track executed contracts, ensure invoices from vendors/freelancers are processed, tracked, and paid in a timely manner 
    • Process and track event operational expenses via the accounting department 
    • Work with marketing and website teams to update website 
    • Organize and maintain team digital filing system (Dropbox, Google Drive) 
    • Assist in managing vendor outreach and vetting for relevant project initiatives 
    • Assist in managing department interns, from initial hiring to prioritization of day to day responsibilities

    Qualifications

    • Working  toward a degree, or applicable experience preferred
    • 1 - 2 years working in a coordinator capacity preferred
    • Previous experience working in events is a plus
    • Experience with Mac OS X, Microsoft Office Suite, and Google Apps
    • Impeccable organization and appreciation for process
    • Proactive and resourceful with strong problem solving skills
    • Proven ability to multi-task and handle diverse workload
    • Positive attitude and excited to learn and grow in a small company
    • Excellent communication skills - both written and verbal
    • Strong relationship-building and influence skills. Personable and trustworthy
    • Self-starter who takes full responsibility and ownership of the tasks before them
    • Fun, friendly and professional demeanor

    Work Environment

    • Must be able to tolerate busy environments, loud noises, and simultaneous experiences.
