    Job Summary

    We are seeking an experienced Operations Manager to join our team. In this role, you will optimize the operational systems and processes of the company, maximizing efficiency and profitability while remaining compliant with all legal and regulatory requirements.

    The ideal candidate has an analytical mind, a deep understanding of human resources, business and financial principles, and a proven track record as an Operations Manager. The ideal candidate is self-motivated, focused, and has a clear understanding of what it takes to run a successful clinic.

    Responsibilities

    Directly report to CEO

    Ensure adequate staffing for front office staff as well as lab assistants such that the cleanliness and personnel presence is excellent.

    New hire paperwork completed, organized, and stored safely and efficiently to hard files and online files.

    Assign new hire and annual employee trainings and keep records of completion.

    Set up new hires in ADP, retirement plan, and health insurance.

    Ensure safety drills are completed twice a year and exit route signs are updated as needed.

    Maintain record keeping for all licensed professionals as well as non-licensed requirements such as CPR, TB, background checks,

    Ensure accuracy with timecards and process bi-weekly payroll.

    Monitor and approve time off requests with consultation of admin as needed.

    Oversee Quickbooks data every month and provide monthly reports for CEO review

    Handle business finances to include bill paying for all accounts payable and receive funds by remote depositing checks.

    Develop an annual budget with the consultation of CEO. Report monthly on budget status.

    Provide feedback on employee work schedules and problem solving when new staffing needs are required.

    Negotiate vendor contracts for office equipment, therapy equipment, outside contractors to identify cost-saving opportunities.

    Ensure the work facility is safe, free of security issues and in compliance with all government regulations.

    Work with outside vendors to maintain necessary business supplies including ordering common office supplies, cleaning supplies and therapy materials requested by teammates.

    Maintain a good working relationship with executives and other managers.

    Provide exit paperwork for employees who have resigned or who are terminated.

    Design and implement procedures to improve profitability.

    Attend weekly meetings with administrative team and provide feedback related to operations, safety and profitability that is in line with company values. Oversee all operational aspects of the business.

    Ensure the organization is compliant with all applicable legal and regulatory requirements.

    Examine financial data and budgets and create financial forecasts

    Ensure proper record keeping and compliance with state and federal regulations, as well as company policies and procedures

    Oversee day to day operations and ensure staffing is appropriate for effective work.

    Recruit new staff and ensure current staff are up to date on current training procedures

    Assist with developing budgets and financial documentation, including both expenses and revenue

    Minimum Qualifications

    Bachelor’s degree in Business or related field, or relevant experience

    Previous experience as an Operations Manager and or Clinical Program Director

    Deep understanding of organizational effectiveness and operations management

    Ability to analyze financial data and create budgets and financial forecasts

    Excellent verbal and written communication

    Knowledge of sound business practices and financial principles

    Proficiency in Microsoft Office suite

    The ability to multitask, meet deadlines, and prioritize based on current and changing needs

    The ability to work under pressure and in a fast-paced environment
