    SUMMARY: This position is primarily responsible for operating a multi-line telephone system to answer incoming calls and directing callers to appropriate personnel by performing the following duties.

    ESSENTIAL DUTIES AND RESPONSIBILITIES: 

    • Core duties and responsibilities include the following. Other duties are assigned.
    • Retrieves messages from voice mail and forwards to appropriate personnel.
    • Answers incoming telephone calls determines purpose of callers, and forwards calls toappropriate personnel or department.
    • Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
    • Able to utilize typing skills for communication via email to multiple accounts.
    • Answers questions about organization and provides callers with address, directions, and other information.
    • Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.
    • Update appointment on calendars.
    • Maintains fax machines, sends faxes, and retrieves and routes incoming faxes.
    • Able to learn the company's scheduling program.
    • Able to learn the company's billing programs.
    • Accepts and processes credit card payments for massage services by phone.
    • Creates and prints fax cover sheets, memos, correspondence, reports, and other documents when necessary.
    • Marketing for business face to face visits, faxes or emails.

    EDUCATION AND/OR EXPERIENCE:High school diploma or general education degree (GED); or two to five years related experience and/or training; or equivalent combination of education and experience.

    LANGUAGE SKILLS:Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

    MATHEMATICAL SKILLS:Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.REASONING ABILITY:Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.

    COMPUTER SKILLS:To perform this job successfully, an individual should have knowledge of Basic Computer skills. Such as Microsoft outlook, Microsoft Word and Microsoft Excel is helpful; lntemet software.
