    World Class Property Company is looking for a highly motivated, high-energy, results-driven OPERATIONS COORDINATOR to support the Operations team with the day-to-day physical operations and business analysis of an assigned portfolio of properties. This role will be based in Austin, Texas.

    The ideal candidate must have strong organizational skills and a positive attitude with an eye for process improvements and value creation. 

    The Operations Coordinator supports the Operations Manager(s) with reporting, tracking, charting the operations of properties in accordance with World Class Property Company policies and standards to maximize profitability, including the following areas: mechanical systems, construction practices, preventative maintenance and government regulations, cost control, general and preventative property maintenance, public safety, janitorial and other contracted services, forecasting property expenses, preparing operational reports and assisting with leasing and marketing programs.

    This position will focus on consolidating reports and tracking progress of operational responsibilities across a portfolio of properties.

    Key Responsibilities

    • Support the Operations team by maintaining effective general and preventive maintenance programs, including tracking and reporting the costs and results of the programs
    • Assist the Operations Managers in scheduling and coordinating work across the portfolio of properties and other projects as assigned
    • Assist the Operations Managers with monitoring all tenant and landlord construction as well as legal tracking of lease administration
    • Assist with monitoring all property-contracted services and vendor supplies- in particular, monitor emergency and “off hours” work (waste removal, janitorial, power outages, Landlord work)
    • Support Building Engineer with tracking and reporting the supervision of all maintenance employees to insure maximum performance and compliance with all World Class Property Company policies and procedures
    • Assist with preparing documentation for the expense portion of the quarterly forecast/business plan
    • Work with the accounting team to insure timely payment of invoices
    • Document operational audits with (Operations Manager and ensure processes are in compliance with corporate policy
    • Prepare back-up information for operational reports for regional/corporate managers
    • Assist with marketing related events and promotions as needed
    • Help maintain all State and Federal required reports and safety documentation
    • Assist with recording asset inventory and property purchases
    • Work with Operations Manager to implement Risk Management and Emergency Planning procedures
    • Maintain building systems and technical systems (CCTV, Fire Alarm, EMS, etc.)
    • Work with the Operations Manager to understand utility rate structures as well as analyze and monitor utility consumption
    • Other duties as required

     

    Qualifications

    • Positive, “get it done” attitude
    • Minimum vocational/technical training
    • Associate’s or Bachelor’s degree desired
    • Administrative/technical experience and knowledge of property physical systems preferred
    • Understanding of building systems, HVAC, plumbing and electrical systems preferred
    • Good analytical skills
    • Proven ability to be flexible, prioritize and manage multiple projects, as well as solve problems in a timely manner
    • Willingness to learn new skills
    • Microsoft Excel and Word skills
