    GENERAL DESCRIPTION / PRIMARY PURPOSE

     

    The Talent Acquisition Coordinator is responsible for providing broad range of administrative support to the Talent Acquisition department, including but not limited to recruiting, onboarding, record-keeping, file and maintenance of employee data in HRIS and other systems.  The Talent Acquisition Coordinator helps to maintain a positive relationship between candidates and the company to ensure a high level of satisfaction from both Hiring Managers and incoming talent to the organization.  Provides backup to the Executive Administrative / HR Coordinator in his/her absence.

     

    MAJOR RESPONSIBILITIES AND TASKS/DUTIES OF THE POSITION

     

    • Assist with the hiring process of employees including travel arrangements, employee reference checks and background screening
    • Scheduling phone interviews / on-site interviews as it relates to partnering with Recruiters, Hiring Managers, Interviewers and Candidates.
    • Adjusting interview schedules when necessary in accordance to business / candidate needs but not limited to ad-hoc issues such as scheduling conflicts, delays and interviewer no shows.
    • Providing prompt and professional communication to both stakeholders and candidates throughout the recruitment process.
    • Welcome and escort candidates for onsite interviews, when applicable.
    • Facilitate the reimbursement process for candidate interviews.
    • Coordinate all onboarding activities including IT and hiring manager to ensure that UAR is sent in appropriate time frame for new hires, ensuring completion of all pre-hire steps, conducting new hire orientation, collecting all new hire paperwork including I-9 form and ensuring that new hire gift bags are delivered in a timely and cost efficient manner.
    • Create new hire files and maintain personnel documents in compliance with state and federal laws in order to submit to HR for processing.
    • Ensure data integrity compliance with all established processes and procedures.
    • Assist with formatting and maintaining job descriptions; ensure OFCCP compliant.
    • Maintain accurate weekly report of temporary employees.
    • Responsible for full recruitment process of temporary employees including but not limited to requisition interviews and onboarding of temporary employees. In addition to coordinating with IT and other internal departments to ensure temporary employee has access to the necessary resources and is properly set up in the system.
    • Maintain up to date contact list of temporary agencies and fees. Ensure that contracts are current and advise TA Manager when expiring.
    • Maintain weekly staffing dashboards and reports of the temporary employees.
    • Process all invoices for Talent Acquisition department.
    • In participation with the HR department, coordinate employee events.
    • Provide backup coverage for Receptionist and Executive Administrative if needed.
    • Ensure department has adequate office supplies and process orders when needed.
    • Support other functions as assigned.

     

    JOB SPECIFIC COMPETENCIES (KNOWLEDGE, SKILL AND EXPERIENCE REQUIREMENTS)

     

    • 2-3 years minimum of human resources administration, customer service / coordinator related type of experience.
    • Experience within recruiting and/or human resources preferred
    • Excellent customer service skills
    • Demonstrated ability to manage multiple tasks concurrently with attention to detail
    • Effective communication and organizational skills, with experience working in a fast paced environment
    • Must have the ability to be punctual, follow direction, maintain confidentiality, interact well with co-workers, understand and follow posted work rules/procedures and to accept constructive criticism.
    • Strong computer skills, including Windows, Word, PowerPoint, and Excel
    • Ability to work successfully and professionally with all levels of employees and management
    • Bilingual Spanish/English preferred
