POSITION SUMMARY:
Under the direction of the Director of Talent this position will provide
a diverse range of administrative support for the Human Resource Team.
Primary tasks would include reviewing and posting open requisitions,
background investigation task, candidate screening, and extending the
offer of employment. Additional support may be required from time to
time to support specific projects & events as requested. This position
also incorporates the tracking and reporting of various HR functions.
Performs other various administrative functions as assigned (mail,
SpringCM)
ESSENTIAL FUNCTIONS:
Recruiting support:
- Assist with phone screens when needed
- Contact new hires to ensure they are able to complete the new hire
process
- Roll out the Onboarding tasks for any pending new hires
- Extend offers to candidates and review the new hire process
- Initiate the new hire process in appropriate systems
- Track the status of new hires for Head Start, Preschool, Before and
After School Enrichment and School Partnerships
- Collect necessary documents from new hires including the release of
information, IDs for the I-9 and medical forms
- Review fingerprint and background check results and investigate when
needed
- Send responses for review and send adverse action notifications
when appropriate.
- Create and send out weekly candidate status reports
- Review and post positions to the Y website (and YUSA)
- Post positions to various boards
- Respond to all calls and emails from new hires or current Associates
- Create and update job templates in the applicant tracking database
- Assist managers by creating job postings in the applicant tracking
database
- Respond to emails in the HR Recruitment inbox
- Schedule interviews for managers
- Scan and save all necessary New Hire documents to the H drive
- Assist at recruitment events
- Track hiring source data for each month
General HR department support:
- Work with the workers compensation team to report claims on the
online portal and to save various documents to the H drive
- Track corrective action plans in a Google Spreadsheet and upload
them Ultipro
- Submit invoices for SpringCM and approve assigned invoices
- Track Patient First invoice totals in a Google Spreadsheet
- Attend monthly HR team meetings

ENVIRONMENTAL FACTORS, PHYSICAL REQUIREMENTS:
- Physically able to successfully complete required job functions,
including use of hands, arms, fingers, able to talk and hear, use a
computer, sit and stand, regularly move/lift up to 50 pounds, enter
all YMCA environments (office spaces, indoor and outdoor
maintenance/mechanical areas, fitness areas, pool and pool space,
camping areas, unimproved outdoor locations and other
program areas).
- Normal office environment; regular work on a personal computer
- Regular travel to community partners, local Y centers, meetings and
events outside of the office
- Travel required for recruiting events and meetings.

- High School diploma or GED (Required).
- Bachelor’s degree with a concentration in: Human Resources,
Business, Management, Psychology or related field (Preferred).
Experience
- One (1) year working in a fast paced environment.
