    Position contingent upon contract award

    Summary of Position :

    The Administrative Assistant will have the ability to work independently and must be able to work under pressure at times to handle a wide variety of activities and sensitive matters with discretion. Completes a broad range of administrative tasks for the AD-S, CAE, and Deputy CAE including managing an extremely active calendar of appointments; assistance with MHS transition activities; composing and proofreading correspondence that are sometimes sensitive in nature; arranging complex and detailed travel plans, itineraries, and agendas.

    Essential Job Functions: (not limited to duties as described – performs related duties as requested)

    l Answer and direct phone calls, take messages, and handle correspondence

    l Schedule meetings, appointments, and travel arrangements for managers or supervisors

    l Maintain filing systems, both electronic and physical

    l Prepare reports, memos, invoices, letters, and other documents

    l Assist with data entry, document management, and record keeping

    l Greet visitors and provide general support to clients and staff

    l Order office supplies and maintain inventory

    l Help prepare for meetings and take accurate meeting minutes

    l Perform basic bookkeeping and expense tracking

    l Ensure the office environment remains professional, organized, and efficient.

    Education and Experience:

    l High school diploma or equivalent; associate’s or bachelor’s degree preferred

    l Proven experience as an administrative assistant, office assistant, or in a similar role

    l Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)

    l Strong written and verbal communication skills

    l Excellent time management and organizational skills

    l Ability to multitask and prioritize daily workload

    l Discretion and confidentiality are essential

    l Familiarity with office equipment (printers, fax machines, etc.)

    Knowledge & Skills:

    l Experience with scheduling tools or project management software

    l Basic knowledge of accounting or database systems

    l Customer service experience

    Level of Supervision:

    • Must be able to function independently
    • Provide overview and general use training to all organization members and key leaders upon request
