  • Responsibilities

    The primary job of the Receptionist is to receive visitors into the office, whether they arrive in person or by telephone. The Receptionist should be able to answer basic questions about Z Family Law that most visitors are likely to have such as the address, directions, parking instructions, website, etc. The Receptionist is responsible for answering all phone calls, sorting mail, and providing refreshments to clients and visitors. The Receptionist should be prepared to take, receive, and log detailed messages, and receive packages and deliveries ensuring timely delivery to the appropriate members of the staff. The Receptionist is responsible for maintaining and keeping the reception area, conference room(s), and kitchen clean, tidy and organized. Responsibilities: • Catalog and organize information for data entry including maintaining mailing lists of clients and referral sources, organizing marketing outreach projects, and managing the firm’s databases • Receive phone calls and visitors to the office and facilitate phone appointments and in-office appointments • Keep the firm’s plants alive • Sort all incoming mail and packages delivered to the law firm and follow the mail protocol for scanning and sorting the mail • General office tasks including copying, faxing, or e-mailing various documents at the request of lawyers and legal assistants • Complete errands within walking distance of our office building • Work on cases within a team environment where collaborating with colleagues is the expectation, not the exception • Contribute to the firm’s blog on a quarterly basis Qualifications: • The most important qualifications are that you: (1) understand the importance of delivering an incredible client experience, (2) have an excellent skill set for compiling and organizing information, (3) have a true passion for helping others through a difficult time in their lives; and (4) possess a proficiency for problem-solving, (5) are comfortable in the role of “Director of First Impressions” to everyone we meet • You are happy in fast-paced work environments, enjoy working in a team, and have an empathetic approach with clients • If you see family law as an opportunity to help clients reimagine their life, you will like the way we think • You appreciate the value of streamlined policies and procedures to ensure that each client receives excellent representation, and you are comfortable adapting your personal style to incorporate our high standards of care • Skills and experience are important and valued, but your personality, character, intelligence, and integrity are extremely important considerations • We are growing, and you will be called upon to wear many hats.
