    Summary of Responsibilities:

    In this role, you'll play a key part in our administrative operations, ensuring smooth day-to-day functioning by managing schedules, coordinating appointments, handling financial transactions, and maintaining accurate records.     Essential Functions

    • Reconcile vendor / subcontractor / credit card accounts
    • General A/P functions, such as entering subcontractor payments/credit card charges
    • Support with payroll, compiling all time sheets and allocating time to jobs on a weekly basis
    • Manage and track employees’ PTO
    • Monitor all lead-calls for marketing sales stats
    • Assist with the renewal of all company registrations, licenses, annual reports, etc.
    • Update Client / vendor / subcontractor information
    • Coordinate the tracking of COI from subcontractors & obtain subcontract agreements
    • Collect all financial data for various insurance renewals (medical, G/L, WC, auto etc.)
    • Support the 401k, medical / dental benefits enrollments
    • Assist with administrative office tasks
    • Serve as backup for the front desk as needed
    • Other special projects as assigned

    Education, Experience, and Skills Required

    • Bachelor’s Degree Preferred
    • Minimum 5 years of Administrative Assistant experience
    • Minimum 3 years of Bookkeeping Experience
    • Knowledge in QuickBooks (preferred) and Microsoft Office Suite
    • Strong organizational skills
    • Strong attention to detail
    • Strong communication and excellent people skills
    • Basic accounting knowledge

    Compensation

    • $25.00/hr-$30.00/hr based on experience
    • $350 per month contribution for Medical/Dental
    • 401K (4% contribution), 8 paid holidays
    • 5 sick days prorated (32hrs accrues 1hr sick)
    • vacation based on length of employment
