SUMMARY OF DUTIES:
- Provide administrative support to Division Vice President of Sales and Regional Vice President of Sales
- Utilize clear and concise verbal, written, and interpersonal communication skills to work with and support management and employees.
- Coordinate all travel and manage expense reporting.
- Heavy calendar and meeting management.
- Work as part of a team, collaborating and communicating across management and support staff to ensure successful outcomes.
- Coordinate all internal meetings to ensure they are set up in advance, ensure needs are met throughout the meeting time, and problem-solve issues that arise
- Coordinate and execute all aspects of offsite meetings which may include setting up travel arrangements, coordination with the venue, pricing, scheduling, building and disseminating the presentation materials, note taking, and project manage follow-up tasks that are assigned to participants.
- Must be able to multi-task, work in a fast-paced organization, proactively anticipate needs, problem-solve solutions, and maintain confidentiality
- Ability to work with vendors to order appropriate items for specified number of people.
- Oversee and support the needs of the Adlink office, including coordinating with Facilities and building management. Responsible for coordinating the office seating arrangement, including assisting managers when new employees join the company.
- Support the needs of other members of management and outside sales offices in LA area as needed
- Provide administrative support to projects assigned by senior leaders
- Other duties as assigned.
QUALIFICATIONS:
- Advanced knowledge of Microsoft Office Suite (Word, Outlook, Excel, PowerPoint) is necessary.
- Must possess excellent verbal, written and interpersonal communication skills.
- Knowledge of general office procedures, familiarity and use of computers, Instant Messenger, Internet, and travel logistics.
- Must have very strong organizational and customer service skills.
- Must be proactive in anticipating manager’s needs and maintain confidentiality.
- Ability to multi-task and prioritize workload.
- Ability to work with all levels of management and employees.
- Ability to have a high sense of urgency and time management.
EDUCATION AND EXPERIENCE:
College degree or equivalent work experience is required. Must have 5+ years of experience as an administrative assistant or preferably Executive Assistant
