Position Overview
We are looking for a dedicated and detail-oriented Part-Time Secretary to join our team. The ideal candidate will provide administrative support to ensure the efficient operation of the center. This role requires excellent organizational and communication skills, as well as a compassionate and professional demeanor when interacting with clients and team members.
Key Responsibilities
· Greet clients and visitors warmly, ensuring a welcoming environment.
· Answer, screen, and direct incoming phone calls and emails to appropriate staff.
· Schedule and confirm client appointments, ensuring accurate record-keeping.
· Maintain and update client files and databases in compliance with confidentiality regulations.
· Prepare and distribute correspondence, memos, and reports as needed.
· Handle routine office tasks, such as filing, photocopying, and ordering supplies.
· Assist with billing and insurance claim processes as required.
· Coordinate with clinicians and staff to support daily operations of the center.
Qualifications
· High school diploma or equivalent; additional education in office administration or a related field is a plus.
· Previous administrative or secretarial experience, preferably in a healthcare or behavioral health setting.
· Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with scheduling software.
· Strong organizational and multitasking abilities with keen attention to detail.
· Excellent verbal and written communication skills.
· Ability to maintain confidentiality and professionalism at all times.
· Compassionate and empathetic approach when interacting with clients experiencing mental health challenges.
Working Hours
This is a part-time position requiring approximately 20 hours per week, with flexible scheduling to meet the needs of the center and its clients.
