Supervising Staff Performing responsible Clerical/Administrative Work or Performing High Level Work in an Administrative Capacity as follows:
• Supervising staff engaged in routine clerical, data entry, or records through agency's various applications. Planning, assigning tasks, monitoring and evaluating individual staff’s,completed task on an ongoing basis. Providing staff with guidance in handling difficult or complex problems as well.
• Assigning cases to subordinates,reviewing and approving actions and decisions; providing technical assistance and guidance to staff. Prioritizing and allocating the workload of staff to provide flexibility in managing cases. Checking the work of staff for accuracy and adherence to established policies and procedures.
• Monitoring work performed by staff to ensure that performance is satisfactory and timely, and finding ways to enhance performance. Developing forms using Excel/VBA for doing their tasks in a more efficient way. Reviewing ,editing and approving written material prepared by staff (e.g. consumers letter, reports, records, etc.)
• Monitoring and approving attendance, time and leave of staff and overtime worked; approving and completing necessary documentation
• keeping staff informed about rules, policies, regulations, issues, etc. related to their areas of responsibility. Conducting informal and formal meetings with staff who are not in compliance Agency's code of conducts and initiates disciplinary actions when appropriate.
• Selecting tasks and standards for staff through discussion with the staff. Formally evaluating the work performance of staff; conducting required periodic formal evaluations and related conferences; preparing associated documentation(e.g., tasks and standards).
• Preparing own unit's productivity reports on a weekly basis.
